How to Use Scheduled Messages

Learn how to schedule messages for 1-on-1 or group chats, attach files, and set up recurring messages.

The Scheduled Messages feature allows you to stay proactive with your customers and groups without needing to be online at the exact moment a message needs to be sent. Whether it’s a birthday wish, a follow-up reminder, or a weekly group update, The Chat Quotient has you covered.

How to Schedule a Message

  1. Open the chat (individual or group) where you want to schedule a message.
  2. In The Chat Quotient sidebar, navigate to the Scheduler tab (clock icon).
  3. Click Schedule New Message.
  4. Compose your message in the text area.
  5. Select the Date and Time you want the message to be sent.
  6. Click Save Schedule.

Attaching Files

You can attach multiple files to your scheduled messages, including images, PDFs, and documents.

  • Click the Attachment icon in the scheduler.
  • Select the files from your computer.
  • These files will be sent along with your text at the scheduled time.

Recurring Messages (Repeat)

If you need to send the same message regularly (e.g., a weekly meeting reminder for a group):

  • Toggle the Repeat option.
  • Choose the frequency (Daily, Weekly, Monthly, or Custom).
  • Set the end date or number of occurrences.

⚠️ The Golden Rule: WhatsApp Web Must Be Active

Because The Chat Quotient respects WhatsApp’s privacy and does not use a centralized API, your messages are sent directly from your browser.

For a scheduled message to be sent successfully:

  • Your computer must be ON.
  • Google Chrome must be OPEN.
  • WhatsApp Web must be ACTIVE (running in a tab).

Why this is necessary: To protect your account and privacy, we do not store your chat sessions on our servers. The message is “pushed” by the extension from your own browser session. If your browser is closed at the scheduled time, the message will be sent as soon as you next open WhatsApp Web.

Managing Your Schedule

You can view, edit, or delete all your upcoming messages in the Scheduler tab.

  • Pending: Messages waiting to be sent.
  • Sent: A history of successfully delivered schedules.
  • Failed: Messages that couldn’t be sent (usually because the browser was closed).

Pro Tip: Group Updates

Scheduled messages are perfect for managing large WhatsApp groups. Use them to send “Monday Morning” updates or “Friday Recap” notes to your community or team without having to remember to do it manually every week.
