A step by step Meta Business Agent setup guide: how to enable it on WhatsApp, train it on your catalog and FAQs, set handoff rules, and test it before customers see it.

Meta Business Agent has been open to every WhatsApp Business account since July 1, 2026, and more than a million businesses turned it on within the first six weeks. If you haven’t set it up yet, or you tried once and gave up halfway through, here’s how to set up Meta Business Agent from the first tap to the moment it goes live, including the training step most people rush and the one setting that decides whether it actually saves you time.

This Meta Business Agent tutorial walks through both the mobile path (WhatsApp Business app) and the desktop path (Meta Business Suite) for how to enable Meta Business Agent on WhatsApp, since the two paths offer different amounts of control.

Before you start

You need three things in place:

A WhatsApp Business account with your phone number already verified. Meta Business Agent isn’t available on personal WhatsApp, only the Business app or the WhatsApp Business Platform.

Something for the agent to learn from. At minimum, this means a website with your product or service info on it. Ideally, you also have a Meta Commerce Catalog connected to your account, since the agent can pull product cards directly from it during a chat.

Ten to fifteen minutes without interruption for the training step. This is the part that determines whether the agent sounds like your business or like a generic chatbot, and it’s not something to do while distracted.

Step 1: Enable Meta Business Agent on WhatsApp (mobile)

Open the WhatsApp Business app on your phone and tap Tools. Select Meta Business Agent from the list. You’ll be asked to confirm your account and authenticate, then tap Confirm to proceed.

This is the fastest path if you’re managing WhatsApp entirely from your phone and don’t need the extra configuration screens the desktop version offers.

Step 2: Or set it up from Meta Business Suite (desktop)

If you want more room to configure things, go to business.facebook.com, log in, and open All Tools, then Meta Business Agent. The desktop version gives you a proper configuration page instead of a mobile flow: a place to link your Meta Commerce Catalog, upload FAQ documents, and set human handover rules all in one screen, rather than moving between menus on a phone.

Either path lands you in the same place. Which one you pick depends on whether you’d rather do this on your phone in five minutes or on a laptop with everything laid out in front of you.

Step 3: Train the agent

This is the step that actually matters. The agent has three ways to learn about your business, and using more than one makes a real difference in how it performs.

Past conversations. You can select real chats with customers and let the agent learn from the questions and answers in them. This is the quickest way to get it speaking in something close to your voice, since it’s learning from your actual replies rather than a generic template.

Your website and catalog. Add your website link so it can read your product and service pages, and connect your Meta Commerce Catalog if you sell physical products. Once connected, the agent can surface an actual product card inside the chat when a customer asks something like “do you have this in blue,” instead of just describing it in text.

Business details and FAQs. Fill in payment methods, return policy, shipping timelines, and business hours, then write out FAQ entries for the questions you get asked most often. Vague FAQs that talk around a question instead of answering it directly are the single most common reason a configured agent still gives unhelpful answers. Write the FAQ answer the way you’d actually say it to a customer, not the way it sounds in a company policy document.

Fifteen well-written FAQ entries with complete, specific answers will outperform fifty rushed ones. If you only have time for one part of this step, spend it here.

Step 4: Set your handoff rules

Decide which topics the agent should never handle on its own and hand straight to you instead. Common ones: refund requests, complaints, anything involving a price negotiation, or a customer who explicitly asks for a human.

You can set these as keyword triggers (the word “refund” appears), or let the agent use its own judgment on tone and intent, so it hands off when a message sounds frustrated even if it doesn’t contain a specific keyword. When a handoff happens, you get a notification and the full conversation history, so you’re not asking the customer to repeat themselves.

Skipping this step is the most common setup mistake. An agent with no handoff rules will attempt to answer everything, including the conversations that needed a person from the first message.

Step 5: Test it before customers see it

Before switching anything live, use the Test your AI button inside the setup flow. Type the kinds of questions your customers actually ask, not just easy ones, and check whether the answers match what you’d have said yourself. If something’s off, go back and fix the FAQ entry or business detail that’s causing it rather than trying to patch it later once real customers are already talking to it.

Step 6: Switch it on

Once you’re satisfied with the test answers, find the AI responses toggle and switch it from Paused to Active. From that point, the agent starts answering incoming messages on its own, following the handoff rules you set in step 4.

What to check in the first week

Don’t set it and forget it. Read through the conversations it’s handled after the first day or two. Look for questions it answered badly, or FAQ topics customers are asking about that you didn’t include. Go back into the training step and fix those specifically, rather than redoing the whole setup. A Meta Business Agent that’s had one round of real-world corrections behaves noticeably better than one that’s only ever seen your original setup.

Also check your Meta Business Suite billing settings. Meta started charging for Business Agent conversations on August 1, 2026, at roughly $2.00 per million tokens, which works out to a few cents per conversation. It’s not expensive at typical small business volumes, but it’s no longer free, so it’s worth glancing at usage if the agent is handling a high volume of chats.

Where this setup runs out

Meta Business Agent handles the first response well once it’s trained properly, but the setup above only covers what the agent can see: your catalog, your FAQs, your uploaded documents. It can’t look up a live order status from Shopify or your own order system, and it only replies to messages that come in. It doesn’t send broadcasts or follow-ups on its own.

The handoff step is also where the setup’s job ends and yours begins. Once a conversation gets flagged and lands back with you, you’re the one reading through it and picking up where the agent left off. That’s the part The Chat Quotient is built for: its AI Summary condenses a long handed-off conversation into a few bullet points before you reply, so you’re not scrolling back through everything the agent already said. If you’d rather run your automated first-response layer inside WhatsApp Web instead of the Business Platform, its own AI Inbound Agent works the same way, minus the Meta account verification step. Frequently asked questions

How long does Meta Business Agent setup take? The activation itself takes a few minutes. Training it properly, writing FAQs, connecting your catalog, setting handoff rules, takes closer to fifteen to twenty minutes if you do it properly the first time.

Do I need the WhatsApp Business API to set it up? No. Meta Business Agent is available through the regular WhatsApp Business app on your phone as well as the WhatsApp Business Platform. You don’t need API access or developer involvement for the basic setup.

Can I edit the training after I’ve turned it on? Yes. Go back into the Meta Business Agent settings at any point to add FAQs, update business details, or adjust handoff rules. Changes take effect on the next conversation.

What happens if I don’t set handoff rules? The agent will try to answer everything itself, including conversations that need a person, like a complaint or a refund dispute. Setting at least a few handoff topics before going live is worth the extra two minutes.

Is Meta Business Agent free to set up? Yes, setup and configuration don’t cost anything. Meta started charging per conversation from August 1, 2026, at roughly $2.00 per million tokens, but there’s no separate fee to enable or configure the agent itself.

The bottom line

Setting up Meta Business Agent takes minutes; setting it up well takes closer to twenty. The activation flow (Tools, then Meta Business Agent, then Confirm) is the easy part. What determines whether it’s actually useful is whether you spend real time on the FAQ answers, connect your catalog if you have one, and set handoff rules before you switch it on rather than after a customer gets a bad answer. Do those three things and you’ll have a working first-response layer for WhatsApp in under half an hour.
