How to Create and Send a WhatsApp Broadcast Campaign
A step-by-step guide to sending one message to many WhatsApp contacts at once — from naming your campaign to reviewing and confirming it before it sends.
Campaigns let you send one WhatsApp message to a large list of contacts at once — a broadcast. They’re built for reaching people you already know: saved contacts, group members, or a list you import, not cold outreach. Every campaign is tracked with live delivery stats and has opt-out handling built in to reduce the risk of your WhatsApp number getting flagged.
You’ll find Campaigns as its own tab in the CQ Dashboard, next to Deals (Kanban) and Insights.
Step 1: Name Your Campaign
Click New Campaign and give it a name. A draft is auto-saved as soon as you move on, so nothing is lost if you close the tab and come back later.
You don’t need to finish everything in one sitting — a campaign can start as just a name and be filled in afterward. Draft and paused campaigns can be reopened and edited at any time.
Step 2: Build Your Audience
Add recipients from WhatsApp contacts, a WhatsApp group, or a CSV import — you can combine all three in the same campaign. See Building Your Campaign Audience for the full walkthrough.
Any number already on your opt-out list is automatically excluded, and the UI shows a running count of how many were excluded as you build the list.
Step 3: Write Your Message
Compose your message with personalized merge fields, optional media, and formatting. See Composing Your Campaign Message for details on merge fields, fallback names, and attachments.
[!TIP] Turn on Add an unsubscribe line to automatically append a “Reply STOP to stop receiving messages from us” line built from your configured STOP keywords. See Managing Opt-Outs and STOP Keywords.
Optional: Hand Off Replies to an AI Sales Agent
Turn on AI handoff to have one of your AI sales agents automatically engage anyone who replies to the campaign, up to a configurable cutoff (e.g., stop monitoring after a set number of hours with no reply). You can change or turn this off at any time, even mid-campaign. For agent setup itself, see the AI Inbound Agent help section.
Step 4: Review & Confirm
Before you send, the review screen shows:
- The exact recipient count
- The final rendered message, with merge fields substituted using a sample contact
- Attached media, if any
- Your configured STOP keywords
- AI handoff status
- Your current sending settings — daily cap, delay range, and business hours — with a one-click link to edit them
Follow WhatsApp’s spam policy to prevent bans. We are not liable for blocked numbers. Contact us if blocked to remap your account to a new number.
Click Confirm to start sending. The campaign status moves to Sending, and messages go out gradually in the background. See Tracking Campaign Status to follow progress, and Sending Campaigns Safely to understand the settings that protect your number.
